The Role

We are seeking an experienced Academic Clerk / Student Records Assistant to maintain student records, process academic documentation, support enrollment and registration activities, and assist with routine academic administration.

The ideal candidate is highly organized, accurate, discreet, and comfortable handling confidential student information and administrative processes.

Key Responsibilities

  • Maintain accurate and up-to-date student records in digital and physical systems.
  • Enter, verify, update, and retrieve student information, enrollment details, attendance records, grades, and academic documentation.
  • Process student registration, enrollment, transfers, withdrawals, course changes, and related administrative requests.
  • Review submitted forms and documentation for completeness, accuracy, and required approvals.
  • Organize and maintain student files, academic records, transcripts, certificates, and supporting documentation.
  • Assist teachers, academic coordinators, registrars, and administrators with student-record requests.
  • Prepare enrollment lists, class lists, attendance summaries, academic reports, and routine administrative documents.
  • Support the preparation and processing of transcripts, certificates, letters, verification documents, and academic records.
  • Respond professionally to student, parent, teacher, and administrative inquiries regarding records and routine academic procedures.
  • Coordinate with relevant departments to resolve missing information, record discrepancies, and documentation issues.
  • Perform data-entry checks and identify duplicate, incomplete, inconsistent, or outdated records.
  • Maintain accurate filing systems and ensure records can be retrieved efficiently when required.
  • Assist with examination administration, grade collection, result processing, and academic reporting where applicable.
  • Update student-information systems and ensure changes are properly documented and authorized.
  • Prepare spreadsheets, reports, statistics, and administrative summaries for academic management.
  • Monitor deadlines for registration, document submission, academic reporting, and other student-record processes.
  • Handle confidential student, family, academic, and institutional information with strict discretion.
  • Follow established procedures for document retention, record access, data security, and information sharing.
  • Assist with audits, accreditation reviews, inspections, and internal record checks by preparing required documentation.
  • Support academic events, orientations, registration periods, examinations, graduation activities, and student-service initiatives.
  • Identify recurring administrative issues and recommend improvements to records-management processes.
  • Coordinate with IT or system administrators when student-information systems experience technical or data-related issues.
  • Maintain professional communication with students, parents, teachers, administrators, and external organizations when authorized.
  • Follow school policies, academic regulations, safeguarding requirements, privacy standards, and data-protection procedures.
Requirements
  • Bachelor’s degree or equivalent qualification in Education, Business Administration, Office Administration, Information Management, or a related field is preferred.
  • 3+ years of professional experience in academic administration, student records, school administration, registrar services, or office administration is preferred.
  • Excellent spoken and written English communication skills.
  • Strong attention to detail and high level of accuracy in data entry and document processing.
  • Excellent organizational, filing, coordination, and time-management skills.
  • Ability to handle confidential student and academic information responsibly.
  • Strong understanding of administrative procedures and record-management principles.
  • Proficiency in Microsoft Word, Excel, Outlook, Teams, and other office applications.
  • Experience with student-information systems, school-management platforms, LMS platforms, or database systems is advantageous.
  • Strong data-entry, document verification, and spreadsheet-management skills.
  • Ability to manage multiple requests and meet academic-administration deadlines.
  • Strong written communication skills for preparing letters, reports, records, and official documentation.
  • Previous experience in an international school, university, college, training center, or education organization is advantageous.
  • UAE education-sector or student-administration experience is advantageous.
  • Familiarity with academic transcripts, grading systems, enrollment procedures, and student-information management is advantageous.
  • Records management, education administration, data-protection, or related certifications are advantageous but not required.
