Business Support Executive / Business Administrator – Part-Time (Project-Based)

Key responsibilities1. Legal & Compliance SupportCoordinate business license renewals and maintain a calendar of renewal deadlines.Liaise with government authorities, PROs, legal consultants, and external service providers when required.Maintain company legal and corporate documentation.Support basic compliance requirements and follow up on outstanding documentation.Coordinate with external accountants/legal advisors on filings, renewals, and regulatory requirements.2. Accounting & Finance AdministrationCoordinate with the external accountant/bookkeeper on monthly accounting activities and filings.Organize invoices, receipts, payment records, and supporting financial documents.Support basic expense tracking and reconciliation.Follow up on VAT/tax or other applicable filings with the relevant accounting provider.Maintain an organized financial documentation system.3. Business Development & Sales SupportSupport business development activities and lead generation.Conduct LinkedIn/email outreach to potential clients and partners.Research potential companies, decision-makers, and business opportunities.Maintain and update the CRM / prospect database.Follow up with leads and schedule meetings when required.Prepare basic company information, proposals, presentations, and other sales-support materials.Support tender/RFP submissions and business development research.4. Marketing SupportSupport basic LinkedIn and social media activities.Coordinate simple marketing campaigns, announcements, and content distribution.Assist with preparing basic marketing materials and presentations.Support email campaigns and database communications.Conduct competitor and market research when required.5. General Business AdministrationProvide day-to-day administrative support across the business.Maintain organized company files, contracts, records, and databases.Coordinate with internal team members and external suppliers/service providers.Support ad-hoc operational and administrative projects.Help identify opportunities to improve internal processes and organization.Ideal candidateI would look for someone who is very organized, proactive, commercially minded, and comfortable wearing multiple hats rather than a purely administrative person.Requirements:2–5 years of experience in business administration, operations, office management, business support, or a similar role.Experience coordinating with accountants, legal advisors, PROs, or government authorities is preferred.Comfortable with LinkedIn, email outreach, CRM systems, and basic business development activities.Good understanding of basic accounting administration.Strong written and verbal English.Excellent follow-up and organizational skills.Strong Microsoft Office / Google Workspace skills.Ability to work independently and manage multiple priorities.Previous experience in a startup or SME environment is a strong advantage.Engagement structureEmployment Type: Part-Time / Project-BasedWorking Arrangement: Remote / Hybrid, depending on requirementsHours: Flexible, based on workload and agreed monthly hoursScope: Ongoing business support across administration, compliance, finance coordination, sales/business development, and marketing.If that's sounds like you - please share your CV to career@viwell.com
