The Role

We are seeking a proactive event coordination professional to support the planning, organization, and delivery of virtual, hybrid, and in-person events. You will assist with event schedules, registrations, communications, vendors, speakers, participants, and administrative activities while helping ensure each event runs smoothly from preparation through completion.

This part-time, fully remote opportunity offers flexible working hours and exposure to international events, professional programs, virtual conferences, and cross-functional event operations.

Key Responsibilities

  • Support the planning and coordination of conferences, workshops, webinars, networking sessions, and corporate events.
  • Maintain event timelines, schedules, task lists, registration information, and operational checklists.
  • Coordinate with speakers, attendees, vendors, venues, sponsors, partners, and internal teams.
  • Assist with event registration, participant communications, confirmations, reminders, and attendance tracking.
  • Prepare event materials including agendas, speaker information, participant lists, briefing documents, and presentation resources.
  • Coordinate virtual event platforms, meeting links, invitations, and basic technical requirements where applicable.
  • Monitor event logistics, deadlines, deliverables, and outstanding tasks to ensure timely completion.
  • Support vendor coordination, quotations, bookings, supplies, and event-related administrative requirements.
  • Assist with post-event activities including attendance records, feedback collection, reports, and follow-up communications.
  • Identify opportunities to improve event planning processes, participant experience, communication, and operational efficiency.
Requirements
  • Bachelor's degree or equivalent qualification in Event Management, Hospitality, Business, Marketing, Communications, or a related field is preferred.
  • Minimum of 3+ years of professional experience in event coordination, event administration, hospitality, marketing, conferences, or a related function is preferred.
  • Strong understanding of event planning, registration, scheduling, participant coordination, and event administration.
  • Familiarity with virtual event platforms, registration systems, CRM tools, spreadsheets, project management tools, and collaboration software.
  • Excellent organizational and time-management skills with strong attention to detail.
  • Strong written and verbal communication skills with the ability to coordinate diverse stakeholders.
  • Ability to manage multiple deadlines, event requirements, and last-minute changes calmly and professionally.
  • Good problem-solving skills with a practical and proactive approach to event issues.
  • Customer and participant-focused mindset with strong interpersonal skills.
  • Reliable, adaptable, responsive, and comfortable working independently in a remote environment.
