Part-Time Virtual Assistant / Administrative Coordinator – Remote

About the Role

Reson8 Consulting is looking for an organized, reliable and proactive Part-Time Virtual Assistant / Administrative Coordinator to support our day-to-day business operations.

The role involves a combination of administration, invoicing, basic accounts, Excel reporting, social media posting, recruitment advertising, task management and basic IT support.

We are looking for someone who can work independently, follow up on pending activities and help keep daily business operations organized.

Key Responsibilities

  • Prepare and issue invoices.
  • Maintain invoice and payment trackers.
  • Assist with basic bookkeeping and expense records.
  • Maintain Excel spreadsheets and business trackers.
  • Organize quotations, invoices and company documentation.
  • Update and maintain tasks using Asana.
  • Follow up on outstanding internal tasks.
  • Post recruitment advertisements on relevant platforms.
  • Assist with job application and candidate administration.
  • Prepare and publish weekly company posts on LinkedIn.
  • Assist with basic social media administration.
  • Format Word documents, Excel files and PowerPoint presentations.
  • Organize digital files and folders.
  • Conduct basic online research.
  • Assist with meeting and calendar coordination.
  • Provide general day-to-day administrative support.
  • Assist with basic IT and software troubleshooting.
  • Support other business administration activities when required.

Required Skills

  • Strong knowledge of Microsoft Office.
  • Very good working knowledge of Microsoft Excel.
  • Comfortable working with Asana or similar project/task management platforms.
  • Good written and spoken English.
  • Strong organizational skills.
  • Good internet research skills.
  • Basic understanding of invoicing and accounts.
  • Ability to manage multiple tasks.
  • Strong attention to detail.
  • Good communication and follow-up skills.
  • Comfortable working independently in a remote environment.

Working Arrangement

This is a remote, part-time position.

The successful candidate should be available consistently during agreed working hours and should be comfortable coordinating with a UAE-based business.

Some flexibility may be required depending on workload and business requirements.
