Key Responsibilities Service Delivery & Front Office Operations - Serve as the first point of contact for visitors, guests, and callers, ensuring a professional, welcoming, and positive experience. - Greet visitors and clients and direct them to the appropriate person, department, or meeting location. - Answer, screen, and forward incoming telephone calls professionally and accurately. - Manage the reception area, ensuring it remains organized, presentable, and aligned with the Company’s service and hospitality standards. - Manage incoming and outgoing correspondence, including mail, documents, and courier services. - Coordinate appointments, meeting schedules, and calendars, as required. - Provide general administrative support, including data entry, filing, document management, and other assigned administrative activities. - Coordinate with relevant departments and support teams to ensure efficient front-office operations and timely resolution of visitor or service-related requirements. - Maintain accurate reception records, visitor logs, and other required documentation. - Support the continuous improvement of reception and front-office processes to enhance operational efficiency and customer experience. Customer Experience & Service Excellence - Deliver a consistently high standard of customer service to all visitors, guests, employees, and callers. - Anticipate visitor and guest requirements and respond to requests in a timely, professional, and courteous manner. - Handle enquiries, concerns, complaints, and special requests professionally, escalating matters where appropriate. - Communicate clearly and courteously, ensuring information is accurately understood and conveyed. - Maintain professionalism, discretion, and confidentiality when handling sensitive information. - Demonstrate a proactive and solution-oriented approach to addressing day-to-day front-office requirements. Visitor Management, Health & Safety - Register visitors and issue visitor passes or badges in accordance with Company procedures. - Monitor visitor access and coordinate with Security and relevant departments to support appropriate access control. - Ensure visitors are informed of applicable safety and security requirements where necessary. - Maintain awareness of emergency procedures, including fire evacuation, medical emergencies, and other workplace incidents. - Provide appropriate guidance to visitors during emergency drills or actual emergency situations. - Maintain accessible and up-to-date emergency contact information. - Promptly report safety hazards, incidents, security concerns, or other irregularities to the appropriate personnel. - Ensure the reception area is maintained in a clean, safe, and hygienic condition and that required reception supplies are readily available. Brand & Professional Standards - Represent the Company professionally as the first point of contact and contribute to a positive corporate image. - Maintain a professional appearance, courteous demeanor, and appropriate conduct at all times. - Demonstrate punctuality, reliability, and consistency in carrying out assigned responsibilities. - Adhere to the Company’s Code of Conduct, policies, procedures, and service standards. Education - Diploma or Bachelor’s degree in Business Administration, Hospitality, Customer Service, or a related field, or an equivalent qualification, is required. Experience - Minimum 1 year of relevant experience in a receptionist, front desk, customer service, hospitality, or administrative support role. - Previous experience within a corporate, hospitality, real estate, or customer-facing environment is preferred. - Experience in managing visitors, telephone enquiries, meeting coordination, and general front-office administration is desirable.
