Shipping Operations Assistant

Role Description

We are looking for a highly organized and detail-oriented Shipping Operations Assistant to support the smooth and efficient coordination of daily shipping and logistics activities. The role involves assisting with shipment processing, preparing and verifying shipping documentation, coordinating with carriers and logistics providers, and maintaining accurate records of shipments.

Responsibilities include arranging pickups and deliveries, tracking shipment status, updating internal systems, coordinating shipping schedules, checking orders and shipping details, and communicating with internal teams, customers, suppliers, and transport providers regarding delivery requirements. You will also assist with resolving shipment discrepancies, delays, damaged goods, or documentation issues, while ensuring relevant procedures and compliance requirements are followed. The role requires strong attention to detail, effective communication, organizational skills, and the ability to manage multiple shipments and priorities in a fast-paced operational environment.

Qualifications

  • Diploma, certificate, or bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related discipline.
  • Understanding of shipping, logistics, order fulfillment, and supply chain processes.
  • Strong organizational skills with the ability to coordinate multiple shipments and deadlines.
  • Excellent attention to detail when checking orders, shipping information, invoices, and documentation.
  • Good written and verbal communication skills for coordinating with carriers, suppliers, customers, and internal teams.
  • Familiarity with shipping, inventory, warehouse, or enterprise management systems is preferred.
  • Basic understanding of freight documentation, shipment tracking, delivery processes, and logistics terminology.
  • Strong computer skills and proficiency with common office productivity tools.
  • Good problem-solving skills and the ability to respond promptly to shipment issues or operational changes.
  • Ability to maintain accurate records and handle sensitive shipping and business information responsibly.
  • Ability to work collaboratively while managing routine administrative and operational tasks independently.
