The Role

We are seeking a proactive vendor and supplier coordination professional to support supplier communications, procurement administration, order follow-ups, vendor records, and operational activities. You will help maintain supplier information, coordinate quotations and orders, monitor delivery commitments, and support smooth communication between vendors and internal teams.

This part-time, fully remote opportunity offers flexible working hours and exposure to international suppliers, procurement processes, purchasing operations, and supply chain management.

Key Responsibilities

  • Assist with day-to-day vendor and supplier coordination activities.
  • Communicate with suppliers regarding quotations, product availability, pricing, lead times, orders, and delivery schedules.
  • Maintain accurate supplier databases, contact information, contracts, quotations, purchase records, and vendor documentation.
  • Request and compare supplier quotations, product specifications, pricing, and commercial terms.
  • Coordinate purchase orders, order confirmations, delivery updates, and supplier follow-ups.
  • Monitor supplier commitments, outstanding orders, delivery timelines, and unresolved issues.
  • Assist with supplier onboarding, documentation collection, compliance information, and vendor record maintenance.
  • Coordinate with procurement, finance, warehouse, logistics, inventory, and operations teams regarding supplier-related requirements.
  • Support vendor performance tracking, procurement reports, supplier comparisons, and purchasing updates.
  • Assist in resolving pricing discrepancies, delivery delays, product issues, documentation gaps, and other supplier-related problems.
  • Identify opportunities to improve supplier communication, purchasing workflows, vendor data accuracy, and operational efficiency.
Requirements
  • Bachelor's degree or equivalent qualification in Procurement, Supply Chain Management, Business, Logistics, Operations, or a related field is preferred.
  • Minimum of 3+ years of professional experience in vendor coordination, procurement, purchasing, supplier management, supply chain, or a related function is preferred.
  • Strong understanding of supplier coordination, purchasing processes, quotations, purchase orders, and vendor administration.
  • Experience communicating with suppliers and managing commercial or operational follow-ups.
  • Familiarity with ERP and procurement systems, supplier databases, spreadsheets, and digital collaboration tools.
  • Strong attention to detail when managing supplier information, pricing, orders, and documentation.
  • Good analytical and problem-solving skills with the ability to investigate supplier-related issues.
  • Excellent written and verbal communication skills with strong stakeholder coordination abilities.
  • Strong organizational and time-management skills with the ability to manage multiple suppliers and priorities.
  • Professional, proactive, reliable, commercially aware, and comfortable working independently in a remote environment.
